Need-Related Messages to Volunteers

This article is for Connect site managers. It shows site managers how to edit some of the automated notifications available on their site.

Your Connect site's automated notifications include several messages that are sent to volunteers who have responded to needs:

Notifications Sent at Time of Need Response or Unregistration

Notifications Sent Later

Need Response Thank You

A user who responds to a need automatically gets a Need Response Thank You message. This message thanks them for their interest and assures them that someone from the agency will contact them soon.

By default, the Need Response Thank You template includes the following tags, or template keys:

Template Key Description (Text that replaces the key in the message)
agency_name Name of the agency
agency_contact Name of the agency's contact person (as entered on the agency profile)
agency_email Agency's email address (as entered on the agency profile)
to_firstname Volunteer's first name
to_lastname Volunteers last name
to_email Volunteer's email address
need_title Title of the need the volunteer responded to
need_link Link to the need the volunteer responded to
calendar_links Option to add the need (if associate with a specific date and time) to the volunteer's Google calendar. Below is an example of how this would appear in the message for an August 7 need started at 7 a.m.:

shift_times For shift needs, the shift's start date and time. Below is an example of how this would appear in the message for an August 7 need starting at 7 a.m.:

initiative_message Customized message for the applicable initiative

Note: A need response triggers two notifications: this one, and the Notice of Need Response message.

Users: Welcome to the Team

This message is sent to volunteers who (1) are added to a team response and (2) already have an account on your Connect site. A volunteer can be added to a team by a team creator or team leader, or they can follow a team "join" link that is provided to them. The default message informs the user they they've been added to a team. 

By default, this template includes the following tags, or template keys:

Template Key Description (Text that replaces the key in the message)
to_firstname Recipient's first name
team_name Name of the team, created by the team creator
agency_name Recipient's first name
need_title Title of the need to which the volunteer responded
need_description Description of the need to which the volunteer responded
teamleader_first_name Team leader's first name
teamleader_last_name Team leader's last name
teamleader_email Team leader's email address
contactEmail Need contact's email address
contactPhone Need contact's phone number
contactFax Need contact's fax number
projectAddress Street address listed for the need
projectAddress2 Street address listed for the need
projectCity City listed for the need
projectState State listed for the need
link Link to the team-management area (for team leaders)
reset_password Link for resetting/entering a password
signature Default system signature
calendar_links Option to add the need (if associate with a specific date and time) to the volunteer's Google calendar. Below is an example of how this would appear in the message for an August 7 need started at 7 a.m.:

Note: Some of these template keys are specific to the advanced event module.

Volunteer Team Created

This message (formerly "Vol Need Team Created") is sent to a user when a team leader (1) adds the user to a team and (2) enters their email address in to the system for the first time. The default message informs the user they they've been added to a team and provides instructions for logging into the site.

By default, this template includes the following tags, or template keys:

Template Key Description (Text that replaces the key in the message)
to_firstname Recipient's first name
team_creator_first_name Team creator's first name
team_creator_last_name Team creator's last name
site_name Name of your platform, as specified in Site Settings
agency_name Name of the agency
need_name Title of the need
password_reset_link Link for resetting/entering a password
signature Default system signature
initiative_message Customized message for the applicable initiative
shift_times For shift needs, the shift's start date and time. Below is an example of how this would appear in the message for an August 7 need starting at 7 a.m.:

Note: If your platform does not require team-member emails for team registration, this notification will not be sent.

Unregistered Need Volunteer Confirmation

This confirmation is sent to a user who has unregistered from a need.

By default, this template includes the following tags, or template keys:

to_firstname First name of the recipient
to_lastname Last name of the recipient
to_email Email of the recipient
need_title Title of the need to which the user responded
need_description Description of the need
site_name Name of your site
site_url Your site's web address
signature Default system signature

Upcoming Need Reminder

 The Upcoming Need Reminder is tied to needs that occur on a specific, "Happens On" date. Volunteers who responded to the need will get this message one week after the date of the need, and again the day before the volunteer opportunity occurs. This message reminds the volunteer of the upcoming need

By default, the Upcoming Need Reminder template includes the following tags, or template keys:

Template Key Description (Text that replaces the key in the message)
need_title Title of the need
need_description Description of the need
need_date "Happens On" date; date of the volunteer opportunity
need_link A link to the need on your Connect site
agency_name Name of the agency that posted the need 
to_email Email address of the recipient
to_firstname First name of the recipient
site_name Name of your site
site_link URL of your site
signature Default system signature
initiative_message Customized message for the applicable initiative

Note: The agency equivalent of this notification is the Agency Need Happens On template.

Need Response Follow-up Survey

Your site settings offer an option to have a need response follow-up survey sent to anyone who responds to a need. By default, this automated notification is sent 72 hours after the individual's need response. Click here to learn how to change this setting.

This Need Response Follow-up Survey message thanks the recipient for responding to the need and asks them to complete the survey. By default, it includes the following tags, or template keys:

Template Key Description (Text that replaces the key in the message)
to_firstname First name of the recipient
to_lastname Last name of the recipient
to_userid Recipient's ID (assigned by Galaxy Digital)
to_email Email of the recipient
link Link to the survey
need_title Title of the need
need_description Description of the need
agency_name Name of the agency that posted the need
site_name Name of your site
signature Default system signature

Notify Users Week After Need Happens On

The Notify Users Week After Need Happens On notification is tied to needs that occur on a specific, "Happens On" date. Volunteers who responded to the need will get this message one week after the date of the need. The message thanks the volunteer for responding and participating and encourages them to volunteer again.

By default, the Notify Users Week After Need Happens On template includes the following tags, or template keys:

Template Key Description (Text that replaces the key in the message)
need_title Title of the need
need_description Description of the need
agency_name Name of the agency that posted the need 
to_email Email address of the recipient
to_firstname First name of the recipient
site_name Name of your site
site_link URL of your site

    Could you please consider adding the need name and project link to the choices to be included in the "Need Response Thank You" email. It would be great for volunteers to reference which opportunity they have responded to- especially as they very often respond to multiple projects as they browse. Thanks!
